Bitrix24 self-hosted customization

A B2B packaging manufacturer had a self-hosted Bitrix24 and a list of 14 processes "that need to be automated". External contractors estimated 2 months. We finished in 5 working days — because AI takes the routine part of business processes off the plate.

The task

The client already had Bitrix24 self-hosted on their own server. The team used tasks, drive and calendar, but barely touched the sales pipeline and automation — "had no time for it".

When they finally got to it, a list of 14 routine processes had piled up: invoice approvals, shipment requests, new SKU releases, HR documents and so on. Plus — they needed two-way integration with 1C UPP.

The starting point

Bitrix24 "out of the box", no modifications. No working business processes besides the built-in document templates, which staff ignored — too generic.

In parallel the client was gathering bids from 2 integrators. Estimates landed in the 1.5–2 month range, mostly because of manually drawing every business process in the designer and testing every routing variant.

What we did

We parallelized the 14 business processes: AI generated route drafts from process descriptions, we verified the logic, added approver roles and tested branching. Each process took 2–4 hours instead of the usual 1–2 days.

  • Day 1: audit, requirements gathering across the 14 processes, route diagrams
  • Days 2–3: 9 business processes — all approvals (invoices, requests, leave, business trips, etc.)
  • Day 4: 5 more complex business processes (SKU release, HR cycle with notifications, receivables control)
  • Day 5: integration with 1C UPP via an HTTP service (counterparty sync, invoices, shipments), handover and training

In addition we built 3 custom modules: a CRM card extension with fields from 1C, a "receivables control" dashboard on the home screen, and a production-load report.

The outcome

14 business processes have been running in production since the first week. An invoice approval that used to take a day by email now lands in 2–3 hours: desktop notification, "approve" button, next step.

The 1C UPP integration is two-way: new counterparties from Bitrix24 land in 1C; shipments and invoices land from 1C in Bitrix24 attached to the corresponding deals. The receivables dashboard is the first thing the owner checks in the morning.

5 days of work instead of 2 months — not magic. It is AI plus experience with standard Bitrix24 self-hosted templates. The client spent the time we saved on training the sales managers.
